Calling all clubs - Get ready for the start of the 2025/26 season in PlayHQ

The 2025/26 campaign for Basketball England's NBL and local leagues is rapidly coming into view.

We have some updates and reminders to help all clubs get ready for the new season, with some simple steps in our new PlayHQ platform that will enable you to take payments, register players and much more.

We also have further training sessions scheduled on the game-day elements of PlayHQ, including information on licence cards and our new free app, HoopsHQ.

Club payments

Over the past two weeks we have had some challenges with payment distributions. After meetings with our payment verification provider these have now been rectified, and we believe all clubs will now be able to go through the payment verification process.

If you do not have a Business Registration Number please enter ‘0000’ when you are asked for this prompt. If you are not a registered business you will be asked to provide your constitution (or similar document) and your bank statement. It is important the organisation name is the exact same when you upload this information on both documents. 

If you are not able to provide the above, you must identify as Individual or Sole Trader. Follow the below article for more information.

Generating registration links

Clubs need to set up registration links to onboard their players and other members for the new season. While most clubs now have registration links set up to share publicly or privately, we are aware some clubs are yet to get this important function ready in PlayHQ.

The short video below will help those yet to take this important step get started in getting players registered.

Don’t have an invite to a competition? You will not be able to complete this process if you have not been invited into a competition. With Local Leagues traditionally starting a little later than National League, you may not have your Local League link yet.

Please email your Local League administrator and [email protected] and we will get the invite on its way to you so you can complete the above process.

Does your club run social basketball sessions?

If you run a social/casual basketball programme, your invite will come directly from Basketball England, please email [email protected] and we will send you an invite so you can set up your registration link.

The old BE portal

Please note, we will be closing down our previous membership portal at the end of this month. If clubs wish to check anything in this system, please do so before access is removed on Friday 29 August.

HoopsHQ app

Our new game day app will be called HoopsHQ and will be live very soon. It will feature scores, standings and fixtures, plus player and team stats from all competitions that utilise PlayHQ to administer competitions.

It is also where participants' licence cards will be hosted for the upcoming season.

Passport ID requirement

As part of our membership sign-up, due to FIBA and Home Office eligibility criteria, all players competing in National League must provide Basketball England with a valid copy of their passport. This can be sent to Basketball England using our secure Contact Us form.

If you do not have a passport, or are unable to send this to Basketball England, please contact us through our contact us form upon registering for your club for next season.

Letters of clearance

All players who have a non-British passport, or their most recent competitive basketball participation was outside of the UK, will need a letter of clearance before they can play in a National League competitions.

Letters of clearance are issued by the BBF and fall outside of Basketball England jurisdiction. We recommend clubs and players apply for where required as soon as possible. 

DBS requirements for ALL coaches, officials and positions of trust

All coaches, officials and those in positions of trust must have a valid Basketball England approved DBS.

As a reminder, there will be no DBS overrides with our new system.

Fixture changes

Club admins, if your competition is using PlayHQ for fixtures, please ensure that change request notifications are turned on in your PlayHQ club settings.

Enabling these notifications means you will receive an email whenever:

  • An opposition team requests a fixture change
  • An opposition team accepts a change you have submitted

To turn on notifications:

  1. Log in to the PlayHQ Admin Portal
  2. Go to Overview → Notifications
  3. Toggle the setting on for each admin who needs to receive notifications

This will help you stay updated and avoid missing important fixture changes.
